Screening Questions
1. Can you talk more about your EA experience with Ultimate Branding and what your day-to-day looked like?
With Ultimate Branding, I started as a customer support person, but quickly evolved into a much broader role working directly with the owner, who was a coach. I handled all her day-to-day operations — ensuring discovery calls were booked properly, clients were onboarded and supported, managing her inbox (sometimes responding on her behalf), and making sure her tasks were accomplished. She had no control over her calendar, so I took on scheduling and productivity management. It overlapped with customer success and project management — anything that made her more productive.
2. What was your role at Elemnta and how did it evolve?
I started as the company’s only employe, hired as a recruitment assistant. As the company grew and restructured, I became EA to both the CEO and COO, managing calendars, budgets, and strategic projects. I coordinated with enterprise clients like CEOs and COOs of banks in Australia, and handled both tactical and sensitive personal tasks. I was also sent into high-pressure situations they called me their EA slash firefighter to resolve project delays, mediate conflicts, and “put out fires.”
3. Can you share your most challenging “firefighting” experience?
The toughest was mediating between the CPO and CEO during a year-long conflict while delivering a major client contract. They refused to speak to each other, and I became the go-between, ensuring communication continued so we could launch and fulfill the contract successfully. Ultimately, the board decided to buy out the CPO’s shares, but we achieved our deliverables and maintained client satisfaction.
4. How do you manage complex calendars across multiple time zones and handle last-minute changes?
I treat executives like ongoing projects — my job is to simplify complexity and take tasks off their plate. I use tools like Asana for task-oriented clients and Trello for highly social media-focused clients. I load all executive calendars into my own, maintain visibility, and communicate changes early, ideally with solutions ready. For executives I have established trust with, I make high-quality decisions on their behalf.
5. Can you give an example of a high-stakes project you’ve managed end-to-end?
I spearheaded the implementation of company-wide OKRs at Elemnta, from selecting the tracking system to setting objectives, key results, and KPIs for each department. This resulted in a 98% completion rate, clearer processes, improved performance visibility, and the optimization of staffing from 60 to 30 high-performing employees (reassigning others to more suitable roles).
6. How do you handle situations where two executives need you at the same time?
I’m transparent about my bandwidth and set expectations early. If both tasks are critical, I mediate between the executives to determine what’s highest priority. My focus is always on high-impact tasks first. This approach often prompts executives to reprioritize before assigning tasks.
